Getting Started
System Requirements
SchoolManager.lk is a web-based system no installation required. Works on any modern browser (Chrome, Firefox, Edge, Safari) on desktop, tablet, or mobile. An active internet connection is required.
First Login
After account setup, you will receive an admin email and temporary password via email and SMS. Log in at your school's unique URL (e.g. school.schoolmanager.lk). You will be prompted to change your password on first login.
Setting Up Your School Profile
Go to Settings → School Profile. Enter your school name, address, logo, and contact details. This information appears on all generated reports, fee receipts, and parent notifications.
Students & Classes
Adding a New Student
Go to Students → Add Student. Fill in the student's name, date of birth, admission number, class, and parent contact details. The parent mobile number is critical this is where SMS notifications are sent.
Creating Classes
Go to Classes → Add Class. Set the class name, grade level, and assign a class teacher. Students can then be assigned to that class from their profile.
Bulk Import via Excel
Go to Students → Import. Download the Excel template, fill in your student data, and upload. The system validates the file and shows a preview before importing. Errors are highlighted so you can correct them.
Attendance
Taking Attendance
Go to Attendance → Daily Attendance. Select the class and date. Mark each student as Present, Absent, or Late. Click Save. Parents of absent students receive an automatic SMS within a few minutes.
Attendance Reports
Go to Reports → Attendance. Filter by class, student, or date range. Export to Excel or PDF. The system highlights students with attendance below a configurable threshold.
Editing Past Attendance
Admin users can edit attendance records for any past date. Go to Attendance → Daily Attendance, select the date, and make changes. All edits are logged for audit purposes.
Fee Management
Setting Up Fee Structures
Go to Fees → Fee Types. Create fee categories (e.g. Monthly Fee, Term Fee, Activity Fee) and set the amounts. Fees can be applied to specific grades or the entire school.
Recording Payments
Go to Fees → Record Payment. Select the student and fee type, enter the amount paid, and the payment method. A receipt is generated automatically and can be printed or emailed.
Fee Arrears Report
Go to Reports → Arrears. This shows all students with outstanding balances. You can filter by class and send a bulk SMS reminder to all parents with overdue fees.
